Specifically designed to increase productivity while improving data accuracy and consistency in the OnCore® recording system, Auto-Index reduces the number of manual keystrokes needed for entering index data into OnCore. As a result, the indexer can focus on verification, quality assurance and increased production.
Auto-Index employs the following combination of technologies and system architecture to auto-index recorded documents:
- Advanced Learning Information – Auto-Index acquires knowledge that is used to identify document types and index fields; this information is aquired on an on-going basis by monitoring the history of the data entry process
- Knowledge Base – a repository of information acquired by the advanced learning engine, which stores a combination of relational and metadata information; the metadata is an electronic representation of the knowledge for identifying document types and the relevant index fields
Through a technique called auto-indexing, Auto-Index literally reads every scanned document. It identifies the type of document, counts the pages, QAs the document for font type and margin standards and automatically extracts relevant information including:
- Grantor(s)
- Grantee(s)
- Legal description
- Related documents
- Return address
- Other user-defined fields
Auto-Index then walks the user through the verification process by automatically finding and highlighting the extracted information in the displayed image, allowing the user to approve the data or to use the “rubber band” feature to extract the data directly from the document. Auto-Index exports approved data directly to the OnCore recording system.
